Our Purpose

Responsibilities for Executive Board Members

  • Responsible for general supervision, direction and control of the Band Booster Association.
  • Establishes policies and rules, but only with the approval of the Executive Board.
  • Presides over all meetings of the Association and Executive Board.
  • Coordinates the Association’s activities with the Director of Bands and keep the Director of Bands apprised of the Associations legal and financial status no less than annually.
  • Provides an agenda for all general membership, special and Executive Board meetings.
  • Signs and approves all contracts on behalf of the Association and maintains all contracts of file for the current and preceding three years.
  • Acts as the secondary authorized signatory to all financial accounts. The President shall have open access to, and will assist the Treasurer with reviewing the financial accounts of the Association on at least a quarterly basis.
  • Will represent the interests and garner support for Gloucester County Public Schools Band Programs at the Gloucester County School Board annual budgetary public session.
  • Is a meember of the Budget Committee.
  • Performs the duties of the President in the absence of, or at the request of that officer.
  • Chairs the fundraising committee.
  • Shall coordinate all fundraising activities of the Association to include, but not limited to:
    • Setting the agenda for fundraising committee meetings; assigning various event coordinators; and assumes accountability that timeliness/deadlines are met, etc.
  • In conjunction with the President, is responsible for initiating any permits or filings required for fundraising activities.
  • Ensure fundraising goals are appropriately established in the budget.
  • Reports to the Executive Board the results of fundraising activities, including a comparison with prior years.
  • Will address the Chamber of Commerce in order to garner community support or the Gloucester High School Band Programs.
  • Assumes the responsibilities of the President in the absence of the President and the VP – Fundraising.
  • Overseas the coordinators for the following committees:
    • Concession
    • Pit Crew
    • Uniform/Alterations
    • Chaperons
    • Hospitality
    • Communications
    • Sundries & Apparel
    • Set Design
    • Provides list of all volunteers for home football games to Activities Director of Gloucester High School by the Monday prior to the home game.
    • Coordinates with the Director of Bands to plan and organize the bi-annual band trip and the bi-annual senior trip.
    • Is a member of the Budget Committee.
  • Chairs the Budget Committee
  • Collections and deposits all funds of the Association and maintains a full and accurate account of expenditures and receipts.
  • Disburses and/or reimburses funds in accordance with the budget or as permitted by special vote.
  • Documents each disbursement/reimbursement and provides a record of monthly disbursements/reimbursements to the President by the 5th of each subsequent month.
  • Presents a financial statement at every regularly scheduled Executive Board meeting and at other times when requested by the Executive Board.
  • Shall present the budget for adoption by majority vote of the Executive Board.  The budgit hsall be approved no later than August 1st of the current fiscal year.
  • Shall prepare an annual report at the end of the fiscal year.  Included in the report shall be an itemization of expenses and profits from each fundraising activity.
  • Ensures that all required state and federal tax reporting and filing requirements are filed in a timely manner.
  • Keeps a written transcript of the proceedings of all general, special and Executive Board meetings.
  • Makes available approved and corrected minutes of Association meetings to the general Membership through a written report including a record of attendees.
  • Receives and responds to any written correspondence on behalf of the Executive Board and Maintains the official copy of the Articles of Incorporation and its by-laws.
  • Monitors the conductor the meeting to ensure compliance with appropriate parliamentary procedures.
  • Keeps a copy of current membership, with voting rights, as appropriate.
  • Keeps a copy of the Rules of Order, which is available for reference at all meetings.
  • Maintains a membership roster consisting of names and contact information of Association members.
  • Chairs the by-laws committee.
  • Is a member of the Budget Committee.
